1. The starting point
The buyer contacted us through the WhatsApp link on our Portuguese-language website and asked for a catalog and prices. They selected different styles from the catalog and sent their choices to us for a quotation.
While discussing payment and shipping, the buyer explained:
"É a primeira vez que compro de fora, nem sei como funciona."
"This is my first time buying from abroad; I don't even know how it works."
The buyer did not have a shipping partner. We therefore needed to work through quantities, goods value, preparation and shipping step by step for the specific selection.
2. What needed to be clarified
Different styles with fewer pieces per style. The initial quotation was calculated at 12 pieces per style. The buyer then asked to remove some styles and reduce the remaining ones to 3 pieces each. Quantity per style mattered as much as the selection itself.
Total costs and the next steps for a first overseas purchase. After receiving the revised quotation, the buyer asked what to do next and how to pay. Without a shipping partner, they also needed help understanding the shipping options. Goods, shipping and taxes needed to be explained separately.
Specific details for the next selection. After receipt, the buyer asked whether they could continue ordering small quantities per style. In October, they wanted to start with around 10 to 15 pieces across different styles to test sales. Parcel weight, shipping costs and the exact necklace clasps also mattered to them.
3. How we supported the purchase
Adjusting the quotation to the styles and quantities. On 14 July, we removed the styles the buyer had excluded and adjusted the remaining ones to 3 pieces per style. We sent the revised quotation and confirmed a goods value of USD 429.75 in the chat. The buyer replied, "Perfect! What are the next steps?" On 15 July, we confirmed receipt of payment in the chat and continued preparing the order.
Explaining shipping and confirming costs after preparation. At the start, we explained that the goods could be paid for first and that shipping costs would be confirmed once the products were ready. On 21 July, we confirmed a quotation of USD 208 for shipping and taxes for this order under DDP terms, including customs clearance, taxes and delivery to the buyer. When asked, we confirmed that this amount could also be paid through PayPal.
The payment records for this order show USD 429.75 for goods on 15 July and USD 208 for shipping and taxes on 22 July, totaling USD 637.75. Both payments belonged to the same order. For further inquiries, weight, costs and shipping options are checked again against the specific goods and destination country.
Continuing the discussion of quantities and new styles. On 14 August, the buyer asked whether they could still purchase small quantities per style in the future. We explained that quantities could be discussed and offered to prepare a selection for confirmation based on their requirements.
On 21 October, the buyer sent reference images and explained that they wanted to start with around 10 to 15 pieces across different styles to test sales and limit parcel weight. We asked for the specific styles and quantities needed for the quotation. The buyer marked the styles they wanted and asked us to check the clasp details.
Checking individual styles and product details. On 22 October, we sent a quotation and clasp photographs. The buyer pointed out that the clasp shown in the quotation differed from their expectation and asked to add more styles. We discussed the requested clasp, checked the three additional styles and sent a revised quotation. This new inquiry remained at the selection and quotation stage.

Payment amounts come from the records for this order. The 3 pieces per style were agreed for this particular selection. The request for around 10 to 15 pieces in October concerned the later new selection. Availability, quantities, prices, shipping costs and lead times are confirmed against the final list for each new order.
5. The result
On 14 August, the buyer sent this message:
"As peças chegaram e estou encantada!"
"The pieces have arrived and I'm delighted!"
They immediately added:
"Já querendo um segundo pedido"
"I'm already wanting to place a second order."
The buyer's initial uncertainty about purchasing from abroad developed into an order with confirmed receipt and positive feedback. The conversation then continued with new styles, quantities and product details.
Receipt of the first order is confirmed. For the subsequent new selection, the requested styles and details were checked further in October and the quotation was revised.
6. Planning your purchase
In your first inquiry, identify the styles you want and the quantity per style so the supplier can check availability. If you want to test different styles, agree on those quantities when requesting a quotation.
Goods value and shipping costs should be listed separately. An initial shipping estimate may differ from the quotation after the goods are ready. Clarify which services are included and confirm them again for further orders.
Use your experience with the products you receive as a starting point for your next selection. When working from reference images, confirm the finish or construction details, dimensions, clasp and quantity so the final list and quotation match.
