First Order to Germany: 9 Styles, 108 Pieces

1. The starting point

The buyer contacted us through the WhatsApp button on our German-language website and asked for the catalog and wholesale prices. After asking about one specific style, they selected more items from the online catalog and requested a quotation for the complete selection. Most of the discussion took place in German over WhatsApp.

For this first order, the buyer combined several styles in manageable quantities per style.

2. What mattered before the first order

An itemized total quotation. After choosing the styles, the buyer wanted to know the unit prices, quantities and total cost of the selected items.

Shipping costs before the purchase decision. The buyer made clear that high shipping costs could prevent them from placing an order. The combined quotation for goods and shipping was therefore central to the decision.

Clear payment and order-status updates. The buyer chose PayPal and later asked about a possible payment difference. During preparation, they also checked whether the order had already been shipped.

3. How we supported the order

Turning the selection into an itemized quotation. We prepared a proforma invoice listing style numbers, unit prices, quantities and line totals. After receiving it, the buyer confirmed that they wanted to order the products and asked about payment options.

Agreeing on shipping and payment. We estimated shipping at USD 15 for this order, which the buyer accepted. We also agreed to cover any additional amount if the actual shipping cost exceeded that estimate. Together with the quoted goods value of USD 165.72, the quoted total was USD 180.72. The buyer chose PayPal and asked about paying in euros. When they later asked about a possible difference, we confirmed that no additional payment was required.

Explaining preparation and sharing shipping information. Some selected styles were initially out of stock. When the buyer asked, we explained that these were still being produced. On 12 October, we said that all products were ready and that handover to the shipping partner was planned for that day. We later shared the tracking number and tracking link, and continued the communication through confirmation of receipt.

4. Order summary

The prices and shipping charge refer to the quotation for this order. The 12 pieces per style were also the agreed quantities for this selection. Prices, quantities, availability and shipping costs are confirmed separately for new inquiries.

5. The result

On 24 October, the buyer sent a photograph of the jewelry they had received and confirmed delivery:

"Habe es bekommen danke Ihnen"

"I have received it, thank you."

They then added:

"Alle wunderschön"

"All beautiful."

The first order had reached confirmed receipt. In our subsequent follow-up, we let the buyer know that they could contact us with questions or problems relating to the products.

6. Planning your first wholesale order

Start with a specific selection. Style numbers and quantities per style provide the basis for an itemized quotation. Before paying, confirm the goods value, shipping charges and payment method so you can assess your first order using the full quoted cost.

Discuss the availability of the selected styles as well. Preparing an order and transporting it are separate stages. If some styles still need to be produced, that information belongs in the discussion before shipping.
